Overtime Procedures
Article X (5), Section 7
Working an overtime shift is voluntary. All employees who have passed their probationary period are eligible to volunteer for overtime. To add your name to the list, please fill out this form and email it to hrdepartment@bpl.org.
When looking to fill an overtime shift:
Branch staff should email their Assistant Neighborhood Services Manager to get approval for overtime to fill the shift.
Begin with BLU members who work in your branch or department. Shifts should be offered in order of seniority (aka the most senior staff member should be offered the shift first). Overtime for BLU positions should not be offered or assigned outside of the bargaining unit.
If no one is available, supervisors or acting SOD’s should then use the overtime list to seek coverage. The overtime list is released each Wednesday at 12:00 PM and can be found on the Human Resources page of The Hub. You should not seek coverage for a shift outside of your branch or location until this list is made available to you.
To fill the shift using the overtime list:
After the shift has been filled, the supervisor or SOD in charge of filling the shift should email hrdepartment@bpl.org with the list of employees they contacted and why they declined the shift (i.e.: already working, out of town, etc.). HR will move those who decline the shift for reasons other than already being scheduled or being out on scheduled leave to the bottom of the list for the following week. This information is due no later than the Monday after the overtime shift is worked.
Start with the grade of the position that needs to be filled. If you’re missing a P2, start with P2 staff; if you’re missing a P4, start with P4 staff. Call the list in order from top to bottom within that grade until the shift is filled. Please check which locations someone has checked off prior to calling.
If you have exhausted all employees within the grade of the position you need covered, Branch staff should contact their Assistant Neighborhood Services Manager. Additional instructions have not been provided for staff who work at Central.
An email will then be sent out to all bargaining unit members offering them the shift. The shift will be assigned by the grade of the position in the order in which members respond. Be sure to include the grade of the position you are seeking in your email.
If no one within the grade of the position reponds, the overtime opportunity will be offered to the next higher grade. For example, a shift typically filled by a P2 employee may now be filled by a P3 employee.
In the case that a Sunday shift is unable to be filled through the volunteer overtime system, shifts will assigned to bargaining unit members based on reverse seniority.
